Fees & engagement

How our charging works, in plain English

Care staffing pricing is often deliberately vague. Ours is not complicated: one inclusive rate for temporary shifts, a percentage for permanent placements, and a monthly retainer for compliance or administration. Here is what sits inside each, and what moves the number.

Indicative rates. The “from” figures illustrate the structure of each engagement model. Every tailored quote is confirmed in writing based on your service requirements before you commit to anything.

Four models

Pick the shape that matches the problem

Most providers use one. Some use two — typically temporary staffing plus a compliance retainer for their own employed team.

Temporary staffing

Providers covering sickness, vacancies and rota gaps

Most used

from £21.50/hr

Care assistant, weekday day shift, 48hrs' notice

Charged as

One inclusive hourly charge rate per shift

  • Worker pay, holiday accrual, NI and pension in one rate
  • Full pre-employment checks completed before placement
  • Complete personnel file supplied before the first shift
  • Out-of-hours coordination from 6am
  • No booking fees, admin fees or minimum charges

Not the cheapest option per hour — it is the option where the file holds up.

Permanent placement

Providers filling an establishment post for the long term

from 12%

Reducing for multiple hires and for temp-to-perm conversions

Charged as

One-off fee as a percentage of starting salary

  • Values-based screening and full history verification
  • Enhanced DBS and right to work completed pre-start
  • Two verified references including most recent employer
  • Rebate period if the placement does not work out
  • Reduced rate where the worker has already temped with you

Not worth it for a post you can genuinely fill from your own waiting list.

Compliance management

Providers whose own staff need their checks tracked properly

from £16/worker/mo

Minimum engagement applies; audit priced separately

Charged as

Monthly retainer, banded by headcount

  • Live record of all five checks per worker
  • DBS applications and Update Service status checks
  • Reference requests, chasing and recording
  • 60-day training expiry alerts and refresher booking
  • Inspection-ready file exports on demand

Not a document store — if you only need somewhere to keep PDFs, this is over-specified.

Care administration

Providers without an administrator, or with one who is drowning

from £750/mo

Scope agreed in writing before we start

Charged as

Monthly retainer, scoped to what we take on

  • Timesheet collection, checking and payroll-ready export
  • Digital personnel files maintained
  • Induction, contract and probation paperwork
  • Policy version control with review dates
  • Monthly management pack

Not a substitute for a registered manager — clinical accountability stays with you.

What moves the number

Six things that change your rate

So a quote is never a surprise, and so you can see which levers you control.

  1. 01

    Notice period

A shift booked a fortnight out costs less than one booked at 6am the same morning. Emergency cover carries a premium because the worker is being asked to rearrange their day.

  2. 02

    Shift type

Nights, weekends, bank holidays and sleep-ins are paid at higher rates to the worker, so the charge rate follows. We quote the exact rate before you confirm.

  3. 03

    Role and competency

A care assistant, a medication-competent senior, a complex care worker with tracheostomy sign-off and an RGN are four different markets. Specialist competency costs more because it is scarcer.

  4. 04

    Volume and continuity

Block bookings and regular ongoing placements are cheaper per hour than one-off shifts, because we are not re-briefing a new worker each time.

  5. 05

    Location

Rural rounds and services with poor transport links carry higher rates, because travel time is real time for the worker.

  6. 06

    Length of engagement

Compliance and administration retainers reduce per worker as headcount rises, and we discount for annual commitments.

Worked examples

What this looks like for three real shapes of provider

Drawn from actual engagements. Numbers are on request — the point here is the shape of the arrangement.

A care home covering nights

42-bed home, four waking-night shifts a week, ongoing

Temporary staffing

One inclusive hourly rate per shift, higher for nights than days. No booking fees. Rate held for the agreed term.

Block bookings reduce the hourly rate — we are not re-briefing a new worker each time.

A supported living provider before an inspection

34 staff across four houses, files eleven months out of date

File audit, then compliance retainer

Audit priced as a one-off piece of work, then a monthly per-worker retainer for ongoing tracking.

You keep the written gap list from the audit whether or not you continue with the retainer.

A domiciliary provider that has just grown

26 carers, ~340 visits a week, no administrator

Administration retainer plus recruitment

Fixed monthly retainer scoped to the tasks we take on, with recruitment charged separately per placement.

Cheaper than an administrator's salary at this size, and live in about three weeks rather than three months.

No surprises

What is never on the invoice

Most complaints about agencies are about the invoice, not the care. So this list exists, and it forms part of our written terms rather than sitting only on a website.

And for care workers

We never charge a care worker for anything — not a DBS, not training, not a uniform. Anybody charging a carer to be placed should be reported.

What we offer care workers
  • No booking fees, admin fees or minimum charge per shift
  • No charge for a shift that was not worked
  • No charge for the first shift if a worker is not right for your service
  • No fee for replacing a permanent placement inside the rebate period
  • Timesheets and invoices reconciled before they reach you, not after
  • Rates fixed for the agreed term — no mid-contract uplifts

Questions

About money

The questions finance teams ask, answered before you have to.

Yes. The rate covers the worker's pay, holiday accrual, employer's National Insurance, pension contribution and our margin. There is no separate booking fee, admin fee, weekend surcharge on top of the quoted rate, or minimum charge per shift.
