Privacy, safeguarding and our public statements

Written in plain English rather than legal boilerplate, because the people whose data we hold are care workers filling in a form on their phone. Last reviewed August 2026.

Privacy notice

CareCore Solutions Ltd is the data controller for the personal information described here. Our registered office is 3 Fallowfields Court, Bicester, OX26 6QJ. You can reach our data protection contact at info@carecoresolutions.uk or on 07555 778545.

This notice covers three groups of people: care workers who apply to work through us, staff at the care providers we supply, and visitors to this website. Where a section applies to only one group, we say so.

What we collect

For care workers, we collect what a care provider must be able to evidence before you work in regulated activity. That is more than most jobs require, and we ask for it because the provider is legally obliged to see it.

  • Identity and contact details, date of birth and National Insurance number
  • Right to work evidence, including Home Office share codes where relevant
  • Full employment history, including explanations for any gaps
  • Two employment references and the correspondence around obtaining them
  • Enhanced DBS certificate details, and disclosures about convictions, cautions and safeguarding history
  • Training and qualification records with completion and expiry dates
  • Health information and any reasonable adjustments you tell us about
  • Availability, travel radius and placement preferences

For provider contacts, we hold your name, role, organisation and business contact details, plus the correspondence and bookings between us. For website visitors we hold only what you choose to send us through the contact, quote and newsletter forms. The site has no accounts and sets no cookies of its own; a form submission is delivered to us by email and is not stored on the website itself.

Why we hold it

Our lawful bases are: performance of a contract (placing you in work, supplying staff to a provider), legal obligation (right to work checks, safeguarding duties, tax and employment records), legitimate interests (running a recruitment business and keeping our own records), and — for health information and criminal record data — the substantial public interest condition relating to safeguarding of children and vulnerable adults, together with your explicit consent where we rely on it.

Health information is held separately from your general personnel record, and is never shared with a provider without your specific agreement.

Who we share it with

  • Care providers considering you for work — only the information they need to satisfy their own regulatory obligations, and only providers you have agreed to be put forward to
  • The Disclosure and Barring Service, for DBS applications and Update Service status checks
  • The Home Office online service, for right to work verification
  • Your named referees, in order to request a reference
  • Training providers, where we book a course on your behalf
  • Our email delivery provider, which carries form submissions and newsletter messages on our behalf
  • Our payroll and accounting providers, and HMRC, for pay and tax
  • Regulators, local authority safeguarding teams and the police, where we are legally required or where there is a safeguarding concern

We do not sell personal data, and we do not use it for advertising or profiling. We do not transfer it outside the UK.

How long we keep it

Unsuccessful applications are kept for six months from the decision and then securely deleted. Records for workers we have placed are kept for six years from the last engagement, which is what our employment, tax and insurance obligations require. We keep DBS certificate numbers and issue dates but do not retain copies of certificates beyond six months, in line with DBS guidance. Full detail sits in our retention schedule, which we will send on request.

Your rights

You can ask us for a copy of everything we hold about you, correct anything inaccurate, ask us to delete it, restrict or object to how we use it, and withdraw consent where we rely on it. We respond within one calendar month and we do not charge for it.

Two honest caveats. First, some records we must keep for a fixed period regardless of a deletion request — tax and safeguarding records in particular. Second, if you withdraw consent for pre-employment checks we will not be able to put you forward for care work, because providers cannot lawfully engage you without them.

Care workers on our books can ask for a copy of their onboarding pack at any time by emailing info@carecoresolutions.uk; we send it within five working days.

Safeguarding commitment

Everyone we place works with people who may be at risk. We treat that as the whole point of our checking process rather than an administrative hurdle.

  • Enhanced DBS at the correct workforce level on every worker, with barred list checks recorded
  • Safeguarding training completed before a first shift, refreshed annually
  • Two references, one from the most recent employer, with a direct question about safeguarding concerns
  • A named safeguarding lead, and a documented route for raising a concern about a worker or a provider
  • Any safeguarding allegation acted on immediately: the worker is stood down while it is investigated, and referrals are made to the local authority and DBS where required

If you have a safeguarding concern about anyone we have placed, call 07555 778545 and ask for the safeguarding lead. Out of hours the on-call phone reaches a person.

Modern slavery statement

Labour exploitation is a real risk in care recruitment, particularly for workers on sponsored visas. We never charge a worker a fee of any kind, we pay directly into an account in the worker's own name, and we check that a worker is not being asked to repay recruitment costs to a third party. Where we see indicators of exploitation we report them.

We expect the same of anyone we work with. If you are a care worker who has been asked to pay for placement, training or a DBS by any agency, please tell us — we will help you report it whether or not you work with us.

Accessibility statement

This site is built to meet WCAG 2.2 AA. In practice that means: a base text size of 17px with a scale that respects your browser settings, contrast tested against AA thresholds, visible focus outlines on every interactive element, full keyboard operation including every form, semantic headings and landmarks for screen readers, and reduced-motion support that switches off animation if your device asks for it.

If any part of the site or its forms is difficult for you to use, tell us and we will fix it — and in the meantime a coordinator will take your details over the phone or send you a paper copy of anything you need to complete.

Complaints

Complain to us first — info@carecoresolutions.uk or 07555 778545. We acknowledge within two working days and aim to resolve within ten. If you are unhappy with how we have handled personal data you can complain to the Information Commissioner's Office at ico.org.uk, and you can do that at any point without going through us first.
