Staffing files are one of the most common places a good service loses marks. We hold a live record for every worker — right to work, enhanced DBS and Update Service status, two verified references, and each mandatory training module with its expiry — and we chase what is about to run out rather than telling you after it has.

    Compliance drifts quietly

    Nothing announces that a moving and handling certificate expired six weeks ago. It shows up when an inspector asks, or worse, after an incident. Expiry tracking has to be automatic or it does not happen.

    References that were never actually chased

    A reference request sent once and never followed up is a gap in a file. We track requested, chased and received against dates, and we keep going until it lands or the referee formally declines.

    Nobody is sure what the DBS position actually is

    A three-year-old certificate that is not on the Update Service is not the same as a current check. We record certificate number, issue date, level, Update Service status and consent — and we can tell you in one screen who needs a fresh application.

Enhanced DBS applications and status checks

We submit applications, and where a worker is on the Update Service we run a status check instead — usually minutes rather than weeks. We can also handle renewals for staff you employ directly, at a cost agreed with you before anything is submitted.

Two-reference minimum, most recent employer always

Requested, chased at five working days, and recorded with dates. We flag when a candidate asks us not to approach a current employer before offer.

Right to work and share code verification

Checked against the Home Office online service, with expiry dates diarised for time-limited status.

Mandatory training matrix

Care Certificate, safeguarding, moving and handling, medication, basic life support, infection control, Mental Capacity Act and DoLS, fire safety — each with completion and expiry dates.

60-day expiry alerts

Anything approaching expiry surfaces two months out, with refresher training booked before it lapses.

Any worker's file arrives as a single print-ready pack, with a workforce summary each month for your own records.

The biggest lever

Why we ask about the DBS Update Service before anything else

It is a low-cost annual subscription that keeps an existing enhanced certificate current. Whether a worker is registered decides whether they start next week or next month — so it is the first thing our onboarding form asks about, and “not sure” is an accepted answer, because roughly a third of applicants genuinely do not know.

One caveat we always state: a status check tells you the certificate is still current — it does not tell you what the certificate says. The original must still be sighted, and we tell you when it is available to view.
